Coordinator, Gifts, Database and Donor Relations


Job Description

Woman in office seated at computerReporting to the Senior Advisor, Annual Campaigns, you will coordinate all aspects of gift processing, including database updates and communication with donors.

You will process donations in an efficient and timely manner. You will play a key role in maintaining the integrity of the database and help set up analyses and reports. You will ensure donor satisfaction during the whole donation process.

You will carry out your responsibilities with autonomy, attention to detail and good judgment. You must be bilingual, comfortable with technology and various software programs, and demonstrate good interpersonal skills.

 

 

Donation and database management

– Responsible for the daily management of donations: ensure that all gifts received are processed and added to the database diligently and appropriately; coordinate and follow up with the external supplier.

– Maintain the integrity of donor and gift data: create and update donor and prospect records, duplicate management, data audits to ensure accuracy and quality.

– Improve and document donation management and data entry procedures.

– Contribute to the development of reports and dashboards.

– Keep up to date on new CRM features.

– Contribute to the integration of the CRM with the software used for emailing and online donations.

Donation and database management

Donor Relations

– Ensure that appropriate receipt and donor acknowledgment is prepared and sent out, in accordance with Canada Revenue Agency guidelines.

– Communicate with families for “In Memoriam” and “In Honour” donations.

– Follow up with monthly donors whose credit cards are expiring.

– Responsible for all communication with donors regarding their donations (returned cheques, credit card payments not accepted…)

Other tasks

– Prepare bank deposits

– Participate in various special projects and work in collaboration with the Foundation’s teams (development, marketing and communications, and finance and administration)

– In rotation with other coordinators, answer incoming calls, welcomes visitors and respond to requests when the assistant in charge of the front desk is absent and during his lunch hour.

– All other related tasks, including various administrative tasks.

QUALIFICATIONS AND REQUIREMENTS

– 3-5 years’ experience in a similar position.

– Degree in administration or other relevant experience.

– Bilingual with excellent communication skills in both French and English.

– Ability to use various softwares, and willing to learn how to make the best use of them.

– Excellent problem-solving skills and strong initiative to identify problems and propose solutions.

– Ability to manage confidential information, multiple priorities and tight deadlines with attention to detail.

– Self-starter and ability to bring new ideas to the table.

– Experience in the not-for-profit sector and knowledge of Raiser’s Edge an asset.
